Effective January 1, 2013, we are requiring all fund holders to use the new PeopleSoft (PS) chartfield codes and transaction forms in referencing G-, RS-, C- funds (previously 07-, 17-, and 37- accounts respectively). An email informing fund holders of this implementation date was sent back in mid-October together with attachments that cross referenced old general ledger (GL) codes to the new PeopleSoft chartfield strings. The crossover table between the old GL and PS chartfield codes as well as the PS Department code information and the new PS transaction forms can be found at the following websites:
Although the majority of fund holders have now been trained in generating reports for their funds using the Data warehouse, we will be providing additional training workshops in the New Year. Please email email@example.com to request training. Read the entire message.
In an effort to improve customer service we will be sending out automated financial reports for G- and RS- funds via emails to fund holders. We aim to issue these summary reports monthly. Payroll expense reports (if any) will be attached. While we try to verify the accuracy of these reports, we encourage you to contact your Grants and Contracts Administrator if you notice any unexpected activity or discrepancies in any of your funds. A list of Grants and Contracts Administrators and their college/department assignments can be found at http://www.csulb.edu/divisions/aa/research/our/about/staff/.
These reports are an interim measure, and we hope to be able to provide you a better reporting tool in the future. Please understand that you will not have the ability to drill down in these reports to access detailed transaction data as you would using the Data Warehouse. Information on how to request access to PeopleSoft, how to register for training and training materials on how to access from the Data Warehouse and a guide on how to interpret the activity and balances on your reports are provided below.
A concise informative guide on how to access, format and interpret financial reports on G-, RS- and C-funds through the Data Warehouse.
A FAQ about the PeopleSoft Conversion and Data Warehouse Reports is now available for principal investigators (PI) and account holders on the Grants Management Conversion System website.
To facilitate the transition to the new grants and contracts reporting system, we will continually provide updates via email and on the website. It is our goal to make sure that all PIs and account holders are informed of new information and training during this interim period.
